Dispatch off the whiteboard

Replaced a whiteboard and a group chat with a dispatch app and an intake agent. Crews get jobs on their phones; the office stops retyping.

Services: Build, Automate · 6 weeks

The challenge

Around forty technicians were scheduled from a whiteboard photographed each morning. Jobs arrived by phone, text, and a web form, and the office re-entered every one. Missed after-hours calls went to competitors, and nobody could say which crews were profitable.

The approach

  1. Two-week sprint to a dispatch app: jobs, crews, routes, and photos, built on the existing accounting system instead of replacing it.
  2. An intake agent answers the web form and after-hours texts, qualifies the job, and books a slot the dispatcher can override.
  3. Technician app ships offline-first job sheets and photo upload; the office view shows every crew on one map.
  4. Weekly margin report per crew and job type, pulled from time and invoice data that already existed.

“The office used to start every morning with a photo of a whiteboard. Now it starts with a map.”
